Using Our Web Time Recording System To Manage Your Home & Mobile Working Environment

VisionTimeWeb is a web oriented time recording and scheduling system for managing home and mobile working and other forms of flexible working time arrangements.

Why is it that if Home Working as a notion is viewed positively by many, it is still only adopted by 9% of employees?

This is despite the obvious pressures on the workplace over the past 20 years - for example:

  • The cost of occupying expensive workspace (up to 10,000 euro per person per annum in certain cases)
  • Increasing Staff Turnover and Absenteeism due to staff disenchantment resulting from a variety of issues from traffic gridlock to the challenges of childminding, overcrowded workplaces etc.
  • Competition from increasingly aggressive low cost and flexible economies

Then there are the environmental concerns - which home working can address through people travelling less and thee froe creating less C02 emissions.

At FlexTime we believe there is a fundamental reason contributing to the low adoption rate.

It’s true that Employers like to trust their staff.  However, in practice, if an employee is to be successful in his/her efforts to become a home or mobile worker – for the manager, there needs to be something in the equation, that will provide a concrete knowledge about what’s happening to the remore employees working time - as each day progresses.

VisionTimeWeb was designed to address this issue.

VisionTimeWeb provides that certainty and clarity needed for management and indeed for anyone connected through work to the home/mobile worker. The system uses web and real time technology to record the times, scheduling and mobility of staff and on "an always on" basis.

The employee can key in and out during the day via PCs, PDAs, Mobile Phones and a variety of time devices.

VisionTimeWeb provide vital "real time" information at PCs so that :-

a) those at base know instantly if the home worker has started work,if out on business and where

b) the home/mobile worker has access to knowing if colleagues are/will be at work today and for future days.

Staff can also request time off or a change in schedule at their PCs and ths is then sanctioned by their supervisors.

By the employee and supervisor working in a “joined up” way in managing wotkiong time – the more senior manager has an overview – never before afforded to him/her.   For instance the system provides  instantaneous reports and email alerts.

In terms of even agreeing the principle of flexible or home working with any employee management can utilise our Flex Request tool.

Using Flex Request -  managers can now predict and review the affects that requests for new working time arrangements from employees could have on the overall working time of the group or the organisation.

So where staff are looking for new working times and to work at new working locations e.g home or hot desking, then the Flex Request programme allows the user to build in those factors.

By working in advance with those requested new working times, and by also showing that proposed home worker(s) will not be physically present, comparisions can be made with projected working times of others -say in a department.

Then, by inputting the “staff complement hours” which are needed from a group of staff,  a report from the Flex Request programme, can quickly show, for instance – where there might be a new shortfall of working time or cover, resulting from the employee’s suggested new working time or suggested new working location.  To help you with your Home Working Policy, ask us for more information on the scope of the Flex Request prgramme and other tools such as the Duty Manager,  and how our mobile phone programmes work.
