Case Histories: HSE

The Health Service Executive(HSE) is responsible for providing Health and Personal Social Services for everyone living in the Republic of Ireland.  

The HSE provides thousands of different services in hospitals and communities across the country.

These services are now using VisionTime:  

• HSE : Hospitals: Merlin Park, Sacred Heart, Mayo General, Sligo General, Letterkenny General, Castlebar General, St. Mary’s Roscommon
• HSE : Services: Aras Attracta Roscommon, Community Care, Roscommon,Midlands, Tullamore
• Health Services - General : Department of Health Headquarters– Dublin, Health Research Board, IMO,Irish Medicines Board, Mental Health Commission, National Treatment Purchase Fund, The Children’s Office.

For many years, employees in the Health Service have been using the VisionTime, the web oriented time recording and duty management system from FlexTime. However, recently there has been a dramatic increase in the numbers of HSE Hospitals and services adopting the system.

Being web system, new locations where staff work can be added seamlessly to VisionTime at the click of a software button. In this way services in Galway, Roscommon, Donegal, Sligo, Mayo and Offaly can now take advantage of the fantastic automation which VisionTime provides.

Staff key in and out, in different ways.   For example, some sites have opted for using plastic cards at Time Terminals. Others have preferred to clock at P.C.s.   More recently, field staff have become involved using web enabled mobile phones to register time.

 
When looking for time off or to excuse an illness, employees can use the electronic update or corrections forms, which the supervisor signs off.   Paperwork is thus eliminated.      The system can send an automatic email to the supervisor informing him/her about requests.

Equally, Staff can check in their time folders, while awaiting the sign off – to see the status of the request and can also receive an automatic email alert to signify if the request has been accepted.

The system calculates the employee’s time balances so that he/she is always kept in the picture, helping in those decision as to when is best to take time off e.g. holiday, flexi day.

Where necessary the employee can check who will be in attendance in the section on a future day – which might have an influence on the decision on which day to take off.

VisionTimeWeb operates in real-time –so this means that reports of who is in or out can be called up from anywhere in the network with instant effect. This can assist with emergency drills or simply to let the switch board operator know if an employee is currently attending at work.

VisionTimeWeb also has a Duty Manager feature which for example shows employees their work plan at P.C.s and wall mounted T.V. screens.  More here
