Case History: London Borough of Lewisham

SYSTEM: VISIONTIMEWEB
LOCATION: London

a) Duty Management:

d2d bus

The London Borough of Lewisham is involved in the safe transport by bus of special needs children to school each day.

In addition, through it's Adult Services programme, people need to be brought to various centres e.g. day care and respite centres.

It’s important, therefore, for all concerned i.e. the family, the bus drivers and assistant, the school teacher, care home staff and the service organisers, to know at all times as to what is happening.

So for example, on occasions when a bus driver may not have arrived for his/her shift – the VisionTime Duty Manager will alert those in responsibility.

In addition VT Duty Manager is specially designed to allocate the working time and tasks of bus drivers and attendants. Therefore, this allows the driver & attendant to see what work is on hand - on large PC screens.

This is somewhat like how you would check flight times at an airport on monitors.

VT Duty Manager allows the supervisor to :

Work out, change & save the daily transport routes and to schedule Driver & Attendants to routes, tasks & shifts accordingly
- Match appropriate skills of Attendants to the children's or adults special needs .The system also calculates hours for payroll.

b) Flexible Working Hours:

The London Borough of Lewisham, one of the city’s largest Local Authorities, is seeing major benefits, including a reduction of it’s workload - all resulting from innovative new methods of Staff working time. This is made possible by the interactive and efficient nature of the VisionTimeWeb System.

FACT: VisionTimeWeb saves the Division 15 working days per week (the equivalent of 3 full time staff) on administration time, amongst Supervisors alone - when compared to the earlier manual system for monitoring flexible hours - which had been in use for years".

FACT: Uncertified sick days have fallen, as more employee friendly schedules are being adopted: Parents can arrange more suitable arrival/departure times which, in turn, saves costs on child minding – as well as allowing greater availability for their children. The “Term Time” concept lets parents work longer hours at some times - so they can take time off at other certain critical periods – say at half terms or summer time.

FACT:There is a greater take up of Further Education – as staff can work schedules which take into account the course times.

FACT:The efficiency of VisionTimeWeb has allowed Public Service Division to relax on core time attendance. This permits staff to have the advantage of making appointments with Doctors and Dentists at a time less busy and more convenient to them and not in work time. Also some Staff has opted for the Compressed Working week – i.e. 35 hours in 4 days with say Friday off. So overall there are fewer time pressures on staff - which is increasing attendance rates. Also, if employees exceed five days of uncertified sick in a rolling year - they lose the benefits of the flexible working facility - but are still required to record their attendance in/out using VisionTimeWeb.

Lewisham Council have told us that Supervisors and Management generally are very pleased that VisionTimeWeb can ensure that thay can manage a more diverse work/life balance culture.

This is through instantaneous programmes which, for example, show who is in or out or, say, who plans to be present or absent in the future.
Patterns of working time are easliy accessible, so as to ensure that organisational needs are met. Employees also play their part in achieving this efficiency by, for example, checking the future cover level in their section before looking for a day off
