INTRODUCTION

AXA is one of the largest insurance companies in the world. In Ireland AXA is the second largest insurer and the largest motor insurer with over 30% of the private car market. The company in Ireland evolved from the PMPA Group and Guardian and has been a customer of FlexTime since 1982 - and has been a leader in moving through every generation of our Systems since then.
AXA are amongst a growing number of companies in the insurance sector that now use the VisionTime system from FlexTime. For example: Allianz, AON, CACI (Credit Agricole), Bank Of Ireland Life, Percana and from this month, Sunderland Marine Insurance.
SYSTEM DESCRIPTION
This is a truly Web oriented project, using FlexTime's innovative VisionTime System. Staff in all of the company's offices, both in the Republic of Ireland and Northern Ireland use the system.
Currently FlexTime is in the process of upgrading the VisionTime system at AXA to the latest .NET technology.
Clocking in/out
- Most of the 1,200 staff in AXA key in/out at their own PC's, while some staff have the facility to use Touch Screens.
- Staff call up their own clocking activity and holiday reports.
All this via the Intranet, over Microsoft Internet Explorer.
"Self Service" method of Managing Time
- - Staff handle their own time corrections "electronically" via the intranet.
- - Staff input holiday records & also input other absences.
- - Supervisors authorise or reject such requests electronically also via the Intranet.
FLEXIBLE WORKING AT AXA:
With AXA H.Q. being located in the City Centre, for Staff to have the benefit of a flexible working regime is a fantastic advantage. This means for example, is easier to avoid the daily build up of traffic.
Equally with LUAS light rail service stopping almost next to H.Q., not only can Staff leave the car at home, but can choose times of travel that are not overcrowed in this popular means of transport.

FLEXI DAY AT AXA


Staff are also entitled to build up time each month, so as to take a flexi day, if they wish.
This furthermore assists in the reduction of traffic. Therefore, AXA contribute to a better environemnt, as with staff needing less journeys, then c02 emmissions can decrease too. So for example, if even 60 % of say 600 drivers, decide to take a flexi day at AXA each month, that is potentially 360 less car journeys in and out of the city centre on a monthly basis - or an impressive 4,320 per annum.
Regarding the rest of the AXA group, the system is accessible in every office in the island of Ireland - from one single server located in Dublin. This might be at a fairly sizeable location, in the case of the Staff in the larger Belfast office. Equally, the system can be made available for flexible working, where perhaps there are only one or two people operating in a provincial office, and all because this is a web oriented time solution.
Manpower Planning and other reports in the System:
The HR Office is kept fully informed by the System's extensive reporting module about how staff/supervisors are handling these responsibilities. Also, the VT Due In Report, shows the supervisors all Pre-Planned Absences (Holidays, Sick, Dentist etc) and the reason code. The report can be run for any date and it looks at whether employees are 'DUE IN' or 'NOT DUE IN'. The Cover Report - shows what has happened, in the past, in terms of the vital issue of Staff Cover. The report can drill down to how many staff were available for work in each 15 minute segment of any working day.
The VisionTime system also automatically updates the HR system at AXA, thereby avoiding the need to enter data into two systems.
